Manage your settings

You can manage your workspace settings from the Settings section in the OnSeason dashboard. Settings include your workspace details, team access, integrations, account options, and how the dashboard looks for you. Open Settings 1. Go to app.onseason.ai. 2. Sign in to your OnSeason account. 3. Click your profile icon in the top-right corner and select Settings. You will see several settings sections: - Workspace - Team - Integrations - Advanced - Theme Workspace In Workspace, you can manage general details for your workspace. You can view or update: - Workspace name - Website address - Workspace ID - Workspace status To update your workspace name, edit the Workspace Name field and click Save changes. Your website address is shown here, but it is not changed from this page. To change your website address, go to Website > Domain. Team In Team, you can invite team members to collaborate on your workspace. Team members can help manage your workspace, depending on their role and permissions. You can also see your own membership details, including your current role. For example, if you are the workspace owner, your role will show as Owner. To invite someone, click Invite member. Integrations In Integrations, you can connect external services to your workspace. Currently, this includes: - Stripe — used to accept payments from guests Each integration shows its current status, such as Connected or Not connected. Click an integration to open its setup or connection details. Advanced In Advanced, you can find workspace-level options such as data export, account settings, and destructive actions. This section may include: - Data Export — download a copy of your workspace data. This may be marked as Coming soon. - Account Settings — opens your personal account settings. - Danger Zone — includes actions such as deactivating or deleting your workspace. Use the Danger Zone carefully. These actions can affect your workspace and website availability. For example, deactivating your workspace may take your booking site offline. Theme In Theme, you can personalise how the dashboard looks and feels. You can adjust: - Theme mode — choose Light, Dark, or System. - Page layout — choose Centred or Full Width. - Sidebar collapse — choose whether the collapsed sidebar shows icons or moves off-canvas. These settings only change how the dashboard appears for you. They do not change your website design. PMS Connections In PMS Connections, you can connect your PMS so OnSeason can pull the needed data. Click on "+Add PMS Connection" and follow the steps. Inviting Team Members

Why Invite Your Team? Running a property management business is a team effort. By inviting team members to your OnSeason workspace, you can delegate tasks like updating your website, managing bookings, and monitoring financials - all while keeping control over who can access what. You can invite as many team members as you need. There's no additional cost per team member. Who Can Send Invitations? Only workspace Owners and Admins can invite new team members. If you're a Member or Viewer, ask your workspace Owner or Admin to send the invitation on your behalf. Sending an Invitation - Go to Team Settings — Navigate to Settings > Team in your dashboard. - Click Invite Member — Click the "Invite Member" button to open the invitation form. - Enter their email — Type in the email address of the person you'd like to invite. - Choose a role — Select a role: Admin, Member, or Viewer. Not sure which one? Check Understanding Roles & Permissions for guidance. - Send the invitation — Click "Send Invitation". They'll receive an email with a link to join your workspace. See the interactive walkthrough. What Your Team Member Sees Your team member receives an email invitation with a link to join your workspace. When they click the link, they can either create a new OnSeason account or log in with an existing one. Once they accept, they'll have immediate access to your workspace based on the role you assigned. Invitations expire after 7 days. If someone hasn't accepted yet, you can resend the invitation from the Team settings page. Managing Pending Invitations You can see all pending invitations on the Team page. For each pending invitation, you have two options: - Resend — Send the invitation email again. Useful if the original email was missed or went to spam. - Cancel — Revoke the invitation before it's accepted. The link in the original email will no longer work. What's Next? Understanding Roles & Permissions

Four Roles, Clear Boundaries OnSeason uses four roles to control what each team member can access and do in your workspace. Each role builds on the one below it, so higher roles always include the permissions of lower ones. - Owner — Full control over the workspace. Can manage billing, integrations, team, and all settings. Every workspace has exactly one Owner — the person who created it. - Admin — Can manage team members and workspace settings. Great for operations managers who need to handle day-to-day tasks without billing access. Admins can invite and remove team members, but cannot change roles. - Member — Can manage bookings, guests, and listings. Ideal for front desk staff who handle guest communication and reservation management. Members cannot invite team members or access financial data. - Viewer — Read-only access to all viewable data. Perfect for accountants, consultants, or anyone who needs to see information without making changes. Every workspace must have exactly one Owner. The person who creates the workspace automatically becomes the Owner. Ownership cannot be transferred. Managing Your Team

Keeping Your Team Up to Date As your team evolves, you may need to adjust roles or remove members who no longer need access. All team management happens in Settings > Team. Changing a Member's Role - Go to Team Settings — Navigate to Settings > Team in your dashboard. - Find the team member — Locate the person in the members list. - Change their role — Click the "Change Role" option next to their name. - Select and confirm — Choose the new role from the dropdown and confirm the change. The updated permissions take effect immediately. Only workspace Owners can change team member roles. Admins can invite and remove members, but cannot change roles. Removing a Team Member - Go to Team Settings — Navigate to Settings > Team in your dashboard. - Find the team member — Locate the person you want to remove in the members list. - Click Remove — Click "Remove" next to their name. - Confirm the removal — Confirm the action. They'll receive an email notification that their access has been revoked. - Removing a team member is immediate — they'll lose access to your workspace right away. You can always re-invite them later if needed. Leaving a Workspace Team members can leave a workspace on their own without needing the Owner's help. To leave: navigate to Settings > Team, click "Leave Workspace" at the bottom of the page, and confirm your decision. The workspace Owner cannot leave the workspace. If you're the Owner and want to close the workspace, you'll need to delete it from workspace settings. Tips for Managing Your Team Start with Viewer for new team members until you're confident in their responsibilities, then upgrade their role - Use Admin sparingly — Admins can invite and remove other members, so only give this to trusted managers - Review your team regularly — Remove members who no longer need access to keep your workspace secure - No cost per member — Invite everyone who needs visibility into your operations Not sure which role is right?
